AI adoption, done safely

Help choosing, rolling out and governing AI tools such as Microsoft Copilot, ChatGPT and Claude, so your staff get real value from them without putting your data at risk.

The problem

Your staff are probably already using AI, often on free personal accounts that nobody signed off. That can mean customer data, contracts or internal documents being pasted into tools with no agreement about how they're stored or used.

Banning AI rarely works, and buying licences for everyone without a plan rarely pays off. The value comes from picking the right uses, setting sensible rules and showing people how to use it well.

What we can do
  • Find out where AI could save time in your business, and where it should not be used
  • Compare AI tools, including Microsoft Copilot, ChatGPT and Claude, on cost, features and how they handle your data
  • Write a clear AI usage policy: what staff can use, for what, and what must never go into it
  • Check data protection and UK GDPR implications before personal data goes anywhere near an AI tool
  • Set up business accounts securely, with the right data-sharing and retention settings
  • Practical staff training using your own day-to-day tasks, not generic demos
  • Build AI into everyday workflows, including with Power Automate where it fits
Who it's for

Businesses whose staff are already experimenting with AI, leaders who want to know whether tools like Copilot are worth the licence cost, and anyone who needs an AI policy before a customer or insurer asks for one.

How it's charged

Work is charged at our standard day rate. We agree the scope and the number of days with you before anything starts, so there are no surprises, and it's invoiced separately from any monthly services.

How it works
  1. DiscoveryWhich tools are already in use, which tasks take the most time, and what data is involved.
  2. RecommendationsWhich uses are worth pursuing, which tools fit, and the rules to put around them.
  3. RolloutAccounts set up securely, policy agreed, and staff trained on real examples.
  4. ReviewA check-in once people have used it for a while, to see what is working and what is not.
Who does the work

We've helped organisations adopt AI tools in practice, and we use them in our own business every day. Andy Martin also brings 20 years of security experience from Sophos, so the data protection and security questions get answered at the start, not after something has gone wrong.

Questions
It depends on the tool and the account. Business plans from the major providers usually offer stronger data protection terms than free personal accounts, but the details differ and settings matter. We'll go through them with you for the tools you're considering.
For some roles, yes; for others, less so. We can help you trial it with a small group first, so you can see whether it pays for itself before you buy licences for everyone.
If your staff use AI at all, yes. A short, clear policy protects your data and gives people confidence about what they're allowed to do. It's also increasingly asked for in customer and insurer questionnaires.
